1. What is FormFlow?

FormFlow is a Google Forms Editor Add-on that turns form submissions into configurable multi-level approval workflows. Approvers receive email notifications and can approve or reject requests via a web interface, with status tracked in Google Sheets.

2. Data We Access

FormFlow accesses only the data necessary to provide its features:

• Google Forms data - form title, submitted responses, and form structure for the specific form where the add-on is installed.
• Google Sheets data - the response spreadsheet linked to your form, where approval status and comments are written.
• Your email address - used to send approval request emails, result notifications, and to verify approver identity.

3. Data Storage

All configuration and settings are stored exclusively using Google's built-in Properties Service (document-bound properties). This means:

• Your data stays within Google's infrastructure.
• No data is transmitted to or stored on any external servers.
• No databases, analytics platforms, or third-party services receive your data.
• Approval records are stored in your own Google Sheets - you own and control this data.

4. Data Sharing

We do not sell, rent, trade, or share your personal data or form data with any third parties.

5. Email Usage

FormFlow sends emails on your behalf using the Gmail API for the following purposes only:

• Notifying designated approvers of pending approval requests.
• Notifying form submitters of approval/rejection results.
• Sending reminders for overdue approval requests (if configured).

Emails are sent from the Google account of the user who installed and configured the add-on.

6. Web App Access

FormFlow deploys a Web App for the approval interface. This Web App:

• Is accessible via unique, non-guessable approval links (UUID-based).
• Verifies the approver's Google account identity before processing any action.
• Does not collect or store any data beyond what is written to your Google Sheets.

7. Data Retention

FormFlow stores settings only while the add-on is active on your form. Approval records remain in your Google Sheets under your control. If you uninstall the add-on, configuration properties are no longer used. You may delete approval data from your Sheets at any time.

8. Security

All data is stored within Google's own services and protected by Google's security infrastructure. Approval links use UUID v4 (122-bit random) identifiers that are not guessable. Approver identity is verified via Google account authentication.

9. Children's Privacy

FormFlow does not knowingly collect personal information from children under 13. The add-on is intended for use by Google Forms owners and administrators.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be reflected on this page with an updated "Last updated" date.
